Privacy
policy.
How we handle your personal data when you enquire about the studio or use this website. We are the data controller, and we do not sell your data to anyone.
Who we are
Hopclover Studios is a trading name of Clive Holmes Ltd ("we", "us", "our"), registered in England and Wales, company number 01109337, registered office The Island, 41 Mill Road, Christchurch, Dorset, BH23 2JY.
We are the data controller for the personal data described here. Data protection queries: [email protected]. General enquiries: [email protected].
What we collect
- Enquiry details
- your name, company, email address, the dates you want, how many people are attending, which space you are interested in, and whatever you tell us about the shoot. Collected from the booking form on this site, or by email or phone.
- Booking records
- quotes, confirmations, hire agreements and equipment check-in and check-out records, generated during your booking.
- Access requirements
- any accessibility or access needs you choose to tell us, used only to support your visit.
- Marketing preferences
- whether you have asked to receive updates from us.
We do not ask for special-category data, and this website does not take payment. If you go on to book, payment is handled separately under the hire agreement.
Why we use it
- Answering your enquiry and quoting
- to take steps at your request before entering a contract, and our legitimate interest in responding to you.
- Managing a booking and equipment hire
- performance of a contract.
- Health, safety and security at the studio
- legal obligation, and our legitimate interests.
- Financial and tax records
- legal obligation.
- Marketing updates
- your consent, which you can withdraw at any time.
Who we share it with
We do not sell your personal data and we do not share it for advertising.
We share it only where necessary: with caterers or suppliers if you ask us to arrange something for your booking, and then only the details needed such as headcount and dietary requirements; with our professional advisers such as our accountant, insurer or solicitor; and with authorities where the law requires it.
Where a provider operates outside the UK we make sure an appropriate safeguard is in place, such as UK adequacy or standard contractual clauses.
How long we keep it
- Enquiries that do not become bookings
- 12 months.
- Booking and contract records
- 7 years.
- Financial records
- 6 years plus the current year, as HMRC requires.
- Marketing consent
- until you withdraw it.
How we protect it
We use appropriate technical and organisational measures to keep personal data secure, and we limit access to the people who need it. Enquiries sent through this site are transmitted over an encrypted connection and delivered to a mailbox we control.
Your rights
Under UK GDPR you can ask us to give you a copy of your data, correct it, erase it, restrict or object to how we use it, or provide it in a portable form. You can withdraw consent for marketing at any time.
To exercise any of these, email [email protected]. You can also complain to the Information Commissioner's Office at ico.org.uk, though we would rather you came to us first so we can put it right.
Cookies and third parties
This website sets no cookies of its own, and we use no analytics and no advertising or tracking technology. We do not profile visitors.
Two third-party services are loaded so the site works:
- Google Fonts
- serves the typefaces used on the site. Your browser requests the font files from Google, which means Google receives your IP address as part of that request.
- Cloudflare Turnstile
- runs on the booking page only, to tell real visitors from automated spam. It may set a short-lived cookie for that check. Cloudflare states it is not used for advertising or cross-site tracking.
